Position Purpose

The University of California, Riverside Library welcomes applicants for the position of Acquisitions Assistant, to perform the tasks involved in ordering and receiving library resources (primarily books and serials in print and digital formats), including some cataloging on receipt, as a member of the Acquisitions unit. We are seeking an experienced, detail-oriented individual, who can contribute effectively and independently to fast-paced work in a rapidly-changing team environment.

Successful applicant must pass a background check.

Essential Functions

Acquisitions -- Receipt/Check-In/Invoices 45
Continuing Resources (serials, monographic series, standing orders): process standard and special serial receipts (unbound issues, government publications, added volumes, etc.); maintain completeness and accuracy of check-in records (verify data,identify duplication, title changes, location, and processing instructions), identify and initiate change memos as needed for title changes, suspensions, cessations; perform vendor changes.

One-Time Resources (monographs, media, etc.): receive firm orders as well as domestic and foreign approvals, create bibliographic and order records, identify errors and discrepancies; download electronic invoices; check invoices for accuracy, approve for payment and resolve errors and discrepancies; annotate bibliographic and order records as needed to document actions and decisions; perform cataloging on receipt.
Acquisitions -- Orders/Renewals 45
Continuing Resources (serials, standing orders, monographic series): approve invoices and renewals (including electronic renewals); evaluate price increases and format changes and communicate with subject specialists; handle cancellations, as authorized by subject specialists.

One-Time Resources (monographs, media, etc.): perform pre-order searching and identify appropriate bibliographic records, editions, formats, and ordering/payment requirements; prepare and execute orders; generate accurate monthly statistics; as needed, cancel orders and communicate with subject specialists; search and process gift materials.
Other Departmental Duties, as assigned 5
Sort, distribute and route 1st class, intercampus and serials mail for Metadata and Technical Services Department; check unit/group e-mail accounts and distribute messages to appropriate staff for action or to file; assist with record maintenance, and special projects as needed.
Acquisitions -- Claims/Error Resolution/Collection Management & Access 5
Continuing Resources (serials, monographic serie, /standing orders): claim missing issues and volumes when necessary; refer vendor statement problems to Accounts unit; initiate orders for replacement volumes, issues, and backfiles using vendor websites, reports, and other tools as needed; performs claim follow-up and associated record maintenance; correspond with vendors to resolve subscription problems; work with Electronic Resources Librarian to resolve access, link resolution, and other problems, as needed; process superseded editions.

One-Time Resources (monographs, media, etc.): generate claims for monographs, etc. and one-time serial orders; communicate with vendors/publishers.

Understanding of library operations and procedures, particularly acquisitions and technical services, and experience using an integrated library system.

Knowledge of serial, standing order, and monographic materials, including format, identification, publishers, and other characteristics.

Knowledge of basic cataloging rules and standards (including RDA, AACR2, LCSH, LC Classification, and MARC21) and cataloging tools (including RDA Toolkit, Cataloger Desktop, Classification Web, and OCLC).

Strong interpersonal skills with ability to work successfully in an intensely collaborative environment with a broad range of people from culturally diverse backgrounds including colleagues, administrators, and students.

Ability to operate a personal computer/workstation, including effective use of Microsoft Office software (especially MS Word and MS Excel) and network applications such as electronic mail, internet browsers, websites, etc.

Skill in performing under conditions of frequent interruptions and following through on assignments with minimal supervision, including the ability to set priorities to accurately reflect the relative importance of job responsibilities.
