Position Purpose

Under the general direction of the Director of Study Abroad, the incumbent is responsible for recruiting, advising, and supporting undergraduate students to participate in study abroad programs, including UC Education Abroad Program (UC EAP), UC Riverside Summer Study Abroad, and third-party programs (Opportunities Abroad Program). In particular, incumbent will provide expertise on UC Education Abroad Program (EAP) student support services, such as helping students identify appropriate UC EAP programs based on their interests and/or areas of study, navigate financial aid policies and procedures, and apply for internal and extramural scholarships. In addition, the incumbent will collaborate with Study Abroad staff to lead information sessions, provide pre-departure and re-entry activities for UCR students, support during crisis situations, and event planning and management (e.g., Fall and Winter Worldfest, International Education Week).

Serve as a recognized resource/subject matter expert in UC Education Abroad Programs (EAP).

Respond to inquiries, complaints, or concerns from staff, students, faculty, and members of the public related to programs.

Serve as campus liaison to UC EAP for operations.

Independently represent the needs and concerns of UCR within various EAP constituencies.

Participate in monthly teleconferences, ensuring that representatives are familiar with the issues and have appropriate talking points.

Serve as primary liaison for the system wide, MyEAP on-line project, testing and evaluating for enterprise wide effectiveness as well as for UCR specific needs.

Develop recruitment strategies for EAP in conjunction with Vice Provost's initiatives and student life trends.

Initiate, organize and direct programs which support student access, pre-departure, in-country, and returned student success.

Perform needs assessments. Evaluate the effectiveness of the program and recommend changes.

Recommend changes in relevant policies to higher administrative levels. Draft policy statements upon request.

Manages opportunities abroad databases, ensuring data integrity. Retrieve, input, and research data from the SIS+ database.

Acts as knowledgeable contact to campus administrators, faculty, staff and students, maintaining active collaborations with the Offices of Admissions, Registrar, Financial Aid, Health Center, Student Life.

Assists in the preparation of budget requests to UCEAP and UCR campus.

Supervises and directs the activities of student employees or volunteers, including hiring, evaluating performance, assigning work, recommending annual merit increases, recommending reclassification, initiating disciplinary actions, and resolving complaints/grievances.


PROGRAM/STUDENT ADVISING 40
Advise students, faculty, and public on study abroad programs, policies, and procedures.

Advise students and faculty on course requirements for study abroad programs.

Ascertain and communicate the use of UC credit and transfer units in meeting college and major requirements.

Screen applications by assessing the overall record, including GPA, recommendation letters, self-statement, etc. Identify qualified, conditional, and alternate applicants, using qualitative analysis of the cases, knowledge of international program requirements and past decisions. Advise students on probation issues relative to their overseas participation.

Advise students on study abroad scholarship opportunities, and recommend applicants for available scholarships (e.g., letters of recommendation).

Evaluate and advise undergraduate students requesting exceptions to requirements.

Respond to inquiries, and investigate and resolve problems related to transactions handled by the department.

Confirm that students meet requirements for study abroad programs and maintain accurate, timely records and updates with campus and UC system-wide units.

Serve as a liaison with other departments and UC EAP in the resolution of day-to-day administrative and operational issues. Respond to inquiries, interpret, and comply with policies and regulations.

Provide a welcoming, customer-service oriented atmosphere for visitors, staff, faculty, students, parents, and the public; answers diverse questions of a detailed, general or complex nature related to study abroad programs.

Actively contribute to full range of Undergraduate Education and study abroad programs, optimizing synergy among high impact practices, study abroad, and international programs, e.g., Worldfest, International Education Week, Highlander Orientation.

Conduct PowerPoint training; trainings related to MyEAP and on-line EAP tools for staff, interested faculty.

Update web site and participate in social media outreach.

Assist or represent the Director, as needed.

Bachelor's degree, with 2-3 years of demonstrated progressively responsible study abroad program coordination or advising experience in a university setting; or equivalent combination of education and experience.

Demonstrated skill in event management, publicity, evaluation, and budgeting. Demonstrated ability to successfully advise students on selection of appropriate study abroad program options, utilizing appropriate networks and resources.

Demonstrated ability to provide crisis management and intervention in an international context, to problem-solve, and to offer alternatives towards conflict resolution. Knowledge about current safety, security and health issues and regulations as they affect students abroad. Experience working with health care professionals in travel clinics.

Analytical and Problem-Solving Skills: Skill in evaluating and analyzing complex concepts or knowledge of past discrepancies, trends, and relationships, and applying the concepts appropriately. Skill in analyzing policy issues, UC policy and procedures, and other directives and form solid recommendations. Skill in analyzing information, problems, situations, practices, or procedures to identify relevant concerns, identify patterns or tendencies, formulate logical and objective conclusions.

Oral and Written Communication Skills - Skill in making oral and written presentations through various media formats to colleagues or subordinates to provide information, instructions, or explain subjects of interest. Skill in speaking to public audiences through professional oral presentations. Skill to independently compose letters, memos, reports, and other written communication materials, for a variety of audiences, using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills. Ability to maintain confidentiality at all times.
