Position Purpose

Under the direction of the Assistant Executive Director, the Director of Membership and Marketing is assigned primary responsibility for developing and executing the University of California, Alumni Association's (UCRAA) membership program and crafting messages for alumni marketing communications designed to increase awareness of and participation in the UCRAA. Incumbent must have the ability to work independently as well as collaboratively while achieving defined goals.

Incumbent administers membership acquisition and renewal campaigns; manages the association's membership benefits program, produces multi-day Grad Fair event, and oversees and grows our affinity/business partner relationships.

Other responsibilities include participating in committees; budget and financial administration; and providing advice and counsel in areas relating to membership programs.

A business plan sample may be requested of the final candidates as a part of the selection process.

Membership Programs 45
Develop annual business plan including campaigns for the UCRAA membership program in partnership with volunteer leadership and alumni staff. Create opportunities and identify events/activities currently sponsored by the association to promote membership.

Responsible for acquisition and renewal campaigns designed to generate more than $150,000 annually and achieve projected growth objectives.

Evaluate the current membership program to determine its overall effectiveness as an engagement tool. Determine cost effectiveness of current membership program and return on investment. Make suggestions for improvement.

Research comparable programs and alternative membership models for best practices.

Update alumni staff on its membership programs, benefits and access. Create and document procedures for staff training.

Work in partnership with alumni staff and volunteers, vendors, and campus departments to develop, review, secure and grow membership benefits program offers in compliance with association goals and best practices.

Manage the production and distribution of membership program materials including renewals, new member campaigns and fulfillment packages.

Advise the Assistant Executive Director, Executive Director and volunteer committee chair on progress and topics related to the membership program. Lead the association's volunteer membership and marketing committee.
Marketing Communications 30
Manage and grow affinity/business partner relationships including insurance, college test preparation, commencement photography and other benefit and marketing programs. Negotiate contracts with new business partners and ensure contractual obligations are met.

Develop materials that include content for newsletters, brochures, direct mail, Web pages and event materials, working with designers, event planners, alumni staff, volunteers and vendors. In conjunction with the Communication and Technology Specialist, ensure membership/marketing opportunities are clearly and accurately represented in UCR Magazine, e-newsletter, and online.

Manage merchandising efforts with vendors including researching and selecting appropriate incentive items to offer as part of membership while ensuring cost effectiveness.
Student Programming 15
Produce annual, multi-day Grad Fair for graduating students to register for commencement, market graduation services, and market membership in the UCR Alumni Association to more than 4,000 attendees. Train and motivate student volunteers to assist with Grad Fair.

In cooperation with the Program Manager of Student Relations and Career Resources, create opportunities to increase awareness of UCRAA activities and membership programs to the student population, including the Student Alumni Association, and other student leadership groups, clubs and organizations on campus.
Administrative Duties 10
Manage all internal and external requests for UCRAA membership data requests.

Prepare and analyze membership status reports.

Track income and membership numbers monthly and prepare quarterly alumni metric reports.

Serve as staff liaison to photographers at annual commencement ceremonies and other events as assigned.

Works closely with Executive Assistant/Membership Coordinator to train and ensure timely and accurate processing of membership fulfilment items and data input in Raiser's Edge.

Provide excellent customer service to members including answering questions, membership card replacement, proof of membership receipts, membership renewal needs or current campaigns.

Develop annual budget for membership and marketing programs. Monitor and maintain membership/marketing budgets which total more than $100,000.

Responsible for expediting financial materials such as receipts, purchase orders, invoices and affinity partner income to the Assistant Executive Director. Oversee timely payment of vendors.

Posted Minimum Requirements
-Graduation from college with a major in business administration, journalism, communications, public relations, English, marketing or related field and four years of professional experience or an equivalent combination of education and experience.
-Ability to create a business plan and knowledge of financial processes to analyze the cost effectiveness of programs. General knowledge and competent skills to perform basic accounting procedures; ability to keep accurate records of expenditures and income.
-Experience in alumni relations or in an educational non-profit environment.
-Knowledge of marketing best practices and direct marketing media including direct mail, Web and email. Demonstrated experience in negotiating contracts.
-Resourcefulness in finding appropriate solutions to problems and initiative in presenting alternatives and implementing solutions to ensure effective change. Ability to anticipate problems and take necessary action to eliminate or mitigate potential negative effects.
-Experience managing events. Strong organizational and time management skills, attention to detail and ability to follow through and meet deadlines.
-Ability to be flexible in working independently as well as collaboratively with University Advancement colleagues, faculty, staff, students and volunteers to achieve defined goals.
-Excellent interpersonal skills and ability to interact diplomatically with diverse personalities and to exercise judgment and tact in interaction with alumni leaders, donors, parents and various internal/external constituencies.
