Position Purpose

Under the direction of the Director of Event Management and Protocol, the Public Events Manager is responsible for assisting in the coordination and implementation of special events that benefit the University of California, Riverside and that enhance the institution's image, reputation and attractiveness as a worthy focus of charitable giving and other forms of support.

Essential Functions

Special Event Production 60
-Coordinate the production of the Hays Press-Enterprise Lecture, Campus Memorial and other special events as assigned.

-Assist with the planning and coordination of high-profile major events such as the Chancellor's Dinner, Donors and Scholars Recognition, and Homecoming.
Public Ceremonies Production 30
Assist in the production and marketing of campus-wide public ceremonies including Commencement, New Student Convocation, inaugurations, groundbreaking ceremonies, building dedications and various other events.

Specific responsibilities include, but are not limited to:

-Assist in the development and maintenance of overall plans of action and time lines.
-Schedule facilities and coordinate the ordering of services/supplies required to implement successful events.
-Maintain and update event time lines to ensure that all planning details are executed.
-Assist in the development of invitation mailing lists.
-Assist in the design of invitations, programs, and other collateral materials.
-Maintain event reservation lists and generate RSVP reports.
-Develop content and coordinate the maintenance of event web pages, electronic calendar entries, and online reservation pages.
-Work with catering vendors and campus food services in menu selection and service requirements.
-Assist in event seating design and physical layout of program areas.
-Develop outline of responsibilities for staff/volunteers working events.
-Provide on-site coordination of event registration and logistics including all supplies and equipment.
-Exercise good judgment to resolve issues that may arise during the course of an event.
Miscellaneous Duties 10
-Assist in the development of event budgets.
-Provide back-up assistance to the reception function, as needed.
-Perform other duties as assigned by the Assistant Vice Chancellor for Alumni & Constituent Relations and the Director of Event Management and Protocol.

Minimum Requirements

Two to four years experience in event planning and production, including at least one year of supervisory experience, preferably in a University setting, and graduation from high school; or an equivalent combination of education and experience.

Demonstrated ability to work successfully with volunteers.
