Position Purpose
Under the supervision of the Director of Gift Administration the gift specialist is an integral member of the four member Gift Administration team responsible for the quality and integrity of the alumni and donor database and ensuring that all gifts and pledges are recorded, acknowledged, and reported accurately and in a timely manner, in accordance with established policies and procedures. |

Responsible for processing gifts to the UC Regents. Verifies information on the Gift Acceptance Form and determines appropriate procedure based on the gift type. Works closely with the University accounting office and the Office of Research and Economic Development to coordinate the processing and information exchange relating to Regents gifts. Produces UC Regents gifts receipts in accordance with IRS regulations and enters gift information into the database. Provides stewardship office information on gifts meeting specified criteria. | |
Evaluates Supporting Documentation for Gifts | 20 |
Responsible for evaluating supporting documentation for donations to the UC Regents and the UC Riverside Foundation to verify gift source, type of asset, office of acceptance, pledge status, recipient department or fund and purpose in accordance with University Office of the President regulations and Regental, campus, and Foundation policy and procedures. Keeps abreast of IRS regulations for charitable contributions. | |
Input Detailed Gift and Biographical Information | 20 |
Responsible for inputting detailed gift and biographical information required by several division departments and the Vice Chancellor regarding constituent database of alumni, parents, faculty, staff, corporations, foundation, and other friends. Maintains address, occupation, UCR support group memberships, education, relationships, mailing and affiliation lists as well as other biographical information. Ensures logical consistency within each constituents' data file. | |
Process Gifts to the UC Riverside Foundation. | 15 |
Responsible for processing gifts to the UC Riverside Foundation in accordance with established policies and procedures and processing monthly faculty and staff payroll deductions. Evaluates supporting documentation for donations to the UC Riverside Foundation to verify legal donor, gift source, type of asset, pledge status, recipient department or fund and purpose in accordance with IRS regulations and Foundation policy and procedures. Serves as a backup for bank deposits. | |
Provide Essential Administrative Support | 10 |
As necessary, prepares daily bank deposits, enters pledges and Foundation gifts into the database, and acts as a backup to other areas. | |
