Position Purpose

The incumbent in this position serves as the Rivera Library Evening Access Services Assistant and is responsible for providing assistance and administering public service functions and transactions to patrons at the Circulation/Reserves Desk primarily in the evening hours; assists in maintaining the library's patron database, processing various file loads and reviewing patron records for accuracy; coordinates and compiles departmental statistics; responsible for opening the Library Facility on Sundays, but may occasionally be asked to shift schedule to close Sundays in the absence of the Night & Billing Coordinator; assumes responsibility for the functional operation of the Circulation/Reserves Services Unit and the Rivera Library during breaks or other absences of the Night & Billing Coordinator; coordinates emergency situations and assists staff in other units in solving patron difficulties in the absence of the Night & Billing Coordinator; may be used as backup in emergency situations in Circulation/Reserve Services.

Must be able to work Sunday 12:45-9:45 P.M., Monday-Thursday 3:15 P.M. - 12:15 A.M. during the academic year. Must be able to work daytime shifts during summer and intersession periods.

Staffs Public Services Desks as scheduled. Maintains current knowledge and performs circulation desk functions.

Follows Access Services Public Services Guidelines.

Maintains knowledge of the policies and procedures of the UCR Library. Independently interprets and applies these policies and procedures.

Uses multiple online systems to determine the status of or information on patrons or materials as well as performing a variety of circulation functions.

Maintains confidentiality of records as required by Library and University policy.

Performs general Access Services functions, such as paging available material, processing incoming interlibrary loan material, processing incoming reserve requests and materials, de-processing reserve material, and assisting with shelving, shifting and shelf reading.

Operates building alarm and PA system and reports and corrects problems associated with their use.

Logs Access Services statistics on appropriate forms.

Writes and distributes Security Reports as required.
Technical and Individual Duties 40
Assists in the closing of the Rivera Library Monday-Thursday evenings, and as requested. Opens the Rivera Library on Sundays during the quarter. Responsible for closing of the Library in the absence of the Night & Billing Coordinator. May assist in opening or closing at another UCR Library facility.

Trains new staff and student employees on patron record creation and updates in the Alma ILMS system. Verifies new and updated patron records input by others.

Processes Patron Claims Returned (PCR) items. Searches the shelves on a daily basis for PCR's.

Orders office supplies for the department.

Verifies within 48 hours newly cataloged expedited items are processed correctly.

Compiles monthly departmental statistics for the Rivera Library.

Assists in the training and is a resource for student assistants assigned to the evening shift.

Assists as a backup in processing various patron file loads and corrects discrepancies as needed.

In the absence of the Night & Billing Coordinator, responds to emergency situations, building problems and 3M security system incidents, using judgment to resolve those lying outside of established procedures. Writes security reports as required.

Initiates back-up procedures when the automated system is not functioning and resolves to the extent possible system problems occurring during the absence of the Night & Billing Coordinator.
General Departmental and Library Responsibilities 5
Participates in unit and library meetings and committees as appropriate.

Monitors relevant electronic mailing lists and other formal communication mechanisms.

Serves as Building Emergency Staff for the Library. May serve as an Acting Building Supervisor for Emergency Conditions (BSEC) if a BSEC is unavailable.

Acts as backup staff member in emergency staffing situations. Hours may vary according to the hours the Library is open.

Other duties as assigned by the Night & Billing Coordinator, Unit Head, or by the Access Services Department Head.
