Executive Assistant to the Dean

Position Information

The Executive Assistant provides executive-level coordination and support to the Dean, Associate Dean, Director of Development and serves as a resource to the Assistant Dean/CFAO with coordination, conduct research, and implementation of projects in the School of Public Policy (SPP). The incumbent has a thorough understanding of the Dean's priorities and expectations and takes these into account in coordinating the Dean's schedule. Manages the Dean's calendar and assures the Dean is fully briefed and has all relevant background materials for each engagement. Coordinates with other staff on campus to clarify and arrange details of meetings and the Dean's role. As required, arranges for preparation of the Dean's public remarks and speeches. Manages all aspects of the Dean's business relating to SPP and UCR. Staffs the Dean's meetings, develops and distributes agendas, attends meetings, records highlights and tracks action items, and initiates follow-up as necessary. Coordinates and schedules meetings and events and projects as requested by the Associate Dean, Director of Development, and Assistant Dean/CFAO. Maintains a professional, positive, and open environment reflective of the SPP's priorities and expectations. Exercises independent judgment, an understanding of the academic and administrative issues and excellent interpersonal skills to represent SPP. Additionally, the incumbent maintains a high level of confidentiality, tact, and decisiveness while working with changing priorities, unanticipated urgent demands, and multiple tasks and projects with competing deadlines. The anticipated hiring range is approximately $75,000-$85,000.

Minimum Requirements

Knowledge of federal regulations such as FERPA.
Small to mid-level project management skills.
Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
Advanced service orientation.
Ability to use a high level of discretion and maintain all confidentiality.
Experience in making complex travel arrangements and preparing itineraries.
Skill in maintaining confidentiality of information, records, and correspondence with judgement and discretion.
Ability to multi-task with demanding timeframes.
Intermediate to advanced knowledge of common organization-specific computer applications.
Strong skills to communicate and influence effectively with all levels of staff, faculty, alumni/donors, students and external constituents, both verbally and in writing.
Strong analytical/problem-solving skills.
