Accounting Assistant III - Supplier Maintenance

Position Information

Under the general supervision of the Accounts Payable Supervisor, the Accounting Assistant III is responsible for the maintenance of the University of California Riverside vendor database using PeopleSoft and custom web-based applications. The Assistant III will maintain the accuracy of the database by adding new vendors, correcting/updating existing vendor information, and inactivating vendors. Using a good understanding of Internal Revenue Service (IRS) tax classifications will certify vendor information through the collection and review of IRS tax forms. Provides administrative support to the Accounts Payable unit including review and distribution of incoming/returned mail, returned/refund checks, the processing of deposits, and Corporate Travel Card Program applications. Extracts and prepares vendor and voucher queries for various uses. Due to the intensity of fiscal closing, vacation time is restricted during the month of June.

The full salary range for the position is $27.29 - $39.12 per hour. However, the expected pay scale for this position is $27.29 - $28.58 per hour. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.

Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff.

Degree, or progress towards, in Accounting or related field. Preferred

Experience

Experience Requirement
Minimum of 5 years of related experience; or an equivalent combination of education and/or experience. Required
Experience within a customer service oriented environment responding to and meeting/exceeding the needs of the customer while adhering to policy/procedures. Required
Knowledge of supplier/vendor relations, processes and methodologies.Experience working with databases and customer service portals. Required
Experience participating, developing, and/or implementing process improvements. Preferred
Demonstrated experience with Oracle Cloud Financials Procure to Pay Preferred
Demonstrated experience with UCR Cash Collection, reporting and Reconciliation System (CCRRS). Preferred
Experience operating effectively in a deadline-sensitive and customer-service oriented environment Preferred
Experience with on-line financial systems. Preferred

Minimum Requirements

Intermediate skills using Microsoft Suite applications to include Outlook, Excel, Word, Access.
Ability to work effectively as part of a team and maintain effective working relationships in a diverse environment.
Proven ability to search/query data.
Proven ability to research discrepancies.
Skill in making appropriate task related decisions following established policies and past practices.
Ability to conducting general internet searches.
Skill in communicating effectively and professionally, orally and in writing, using tact and diplomacy.
Ability to interpret and apply policies governing areas of responsibility.
Ability to critically think, triage/diagnose and troubleshoot problems in a timely fashion
Ability to manage and prioritize workflow on a daily basis to accomplish tasks and projects
Experience reviewing tax forms and making determinations based on Federal and State regulations

Preferred Qualifications

Knowledge of UCR's Chart of Accounts

Knowledge of University policies and procedures governing areas of responsibilities, purchasing, and disbursements.

Knowledge or experience in an accounts payable environment.

Knowledge or experience in reconciling ledgers.
